Equipment rental management software

A rental order touches six people before it closes: the salesperson who quotes it, the owner who approves the discount, the yard that dispatches, the driver, the checker who grades the return, and accounts. Off-the-shelf rental software usually covers the quote and the invoice and leaves the middle to WhatsApp.

OnSite Rentals runs portable restrooms, water tankers, golf carts and site equipment out of six branches on the system shown here. Every order carries its own timeline of who did what, and operations staff work from a queue that shows no prices at all.

Where it usually breaks

01

The quotation is a PDF, the order is an email thread, and the challan is a printed form, so the three disagree on quantities by the time the truck leaves.

02

A long rental is billed monthly, but the monthly bill is raised from memory, and the month the site was half-cleared gets billed in full.

03

Nobody can say which orders are waiting on the owner, which are waiting on the yard, and which are waiting on a payment, without ringing all three.

In production

From Onsite ERP. The order system for OnSite Rentals, an event-equipment company with six branches. Quotations, approvals, stock by date, challans, returns, invoices and payments in one place, with a different view for each role. In use since April 2026.

The quotation builder: customer, event, items and services on the left, the totals updating on the right

Quotation to order in one screen

The salesperson picks the customer, the dates, the items and the services. Each line shows what the branch has free for those dates. The quotation prints as a proforma invoice straight away; the customer confirms it with a code, and it becomes the order.

A proforma invoice and a delivery challan as the customer receives them: the branch's own GSTIN and bank details, HSN codes, GST, totals

Invoices and challans that print themselves

The proforma invoice carries the branch's own GSTIN and bank details, HSN codes, GST only when the customer is registered, the payment schedule and the terms. Delivery challans print for the outward and the return trip. Linked orders get one combined invoice with a summary page.

The calendar: every job on each day it runs, coloured by status, with the day's list beside it

A calendar of every job

Each order sits on the calendar for every day it runs, coloured by status. Click a day to see the jobs, the venues and what is going out or coming back.

The operations queue: accept, dispatch, deliver, bring back, check, complete, with no prices on the screen

Operations never see a price

The warehouse team works a queue: accept, dispatch, deliver, bring back, check, complete. No screen, challan or notification they see carries a rupee figure.

What it costs

Builds of this shape usually start at the Complete package, from ₹10 lakh, paid in stages as each part goes live. Hosting runs on your own accounts and there is no charge per user.
