Billing and invoicing software for a multi-branch business

Billing breaks in a multi-branch business at the seams: a branch raises an invoice from its own Excel template, head office reconciles by hand, and a customer with jobs in two cities gets two statements that do not add up to what they owe.

The system shown here raises every invoice and challan from the order record, so quantities, rates and GST on the document are the ones on the order, and a payment logged against an invoice is visible from the order, the customer and the branch at once.

Where it usually breaks

01

The challan says 40 units and the invoice says 38, because the two were typed separately and the return was never carried across.

02

A rental that runs for seven months is billed monthly, but each month's bill is raised from the last one, so a change in quantity in month three is still wrong in month six.

03

A part-payment is recorded in the branch's register and not at head office, and the customer is chased for money already received.

From Onsite ERP. The order system for OnSite Rentals, an event-equipment company with six branches. Quotations, approvals, stock by date, challans, returns, invoices and payments in one place, with a different view for each role. In use since April 2026.

A proforma invoice and a delivery challan as the customer receives them: the branch's own GSTIN and bank details, HSN codes, GST, totals

Invoices and challans that print themselves

The proforma invoice carries the branch's own GSTIN and bank details, HSN codes, GST only when the customer is registered, the payment schedule and the terms. Delivery challans print for the outward and the return trip. Linked orders get one combined invoice with a summary page.

The monthly billing card on a long rental: each month billed and confirmed, the next due date, and the stock still booked

Monthly billing for long rentals

A rental that runs for months switches to monthly billing. Each month is confirmed with the customer's code, bills onto the order, and keeps the stock booked for the next month.

One order: the money actions in the rail and the timeline of who did what and when

Money with a paper trail

Salespeople request payments, write-offs and bill adjustments; accounts approve or reject with a reason. Customers can carry a credit limit. Every order shows what has been collected.

What it costs

Builds of this shape usually start at the Starter package, from ₹4 lakh, paid in stages as each part goes live. Hosting runs on your own accounts and there is no charge per user.
